EMAIL COSTING BUSINESSES MILLIONS
UK business is losing £millions through the incorrect use of and over-reliance on email as the basis for communication according to Positive Performance (www.positive-performance.com), a leading staff development company. Positive Performance believes that businesses’ growing dependence on email, texting and ‘e-meetings’ are not only eroding vital interpersonal skills but also jeopardizing the invaluable benefit accrued through face-to-face contact that builds sustainable long term relationships, credibility and trust. This erosion impacts internal staff relationships, motivation and efficiency as well as client relationships.
Positive Performance’s Chief Executive, Wendy Chalmers Mill said, “Over 3 billion emails and 57 billion text messages are being sent each year, with the result that workers, at all levels, are losing the ability to communicate effectively. The feedback from every communication course I have run emphasizes that staff are getting increasingly annoyed and frustrated with the number of emails sent and received. Businesses need to re-examine how their staff communicate and relate to each other and their clients to halt this erosion which is having such a damaging impact on UK business.”
Perth and Kinross Council who employed Positive Performance to support the Council’s aim of enhancing a successful health and well being culture and support the integration of the Council’s new Employee at Work Charter, said, “We used Positive Performance to improve our customer service and communication in our IT department and the feedback following the training course is that it is essential to re-evaluate the way relationships, both internally and externally, are formed by the method of communication. It concluded that: ‘Face to face communication reduces stress and greatly improves customer service’.”
When used correctly emails can be an addition to the communication process and can support business and improve efficiency. Positive Performance’s guidance is that email should be reserved for logistics, system, and non-personal communications. When the communication is personal and therefore frequently misunderstood, then the phone or face-to-face contact is essential.
Words make up only 8% of all communication, 34% is intonation and tone of voice, and over 58% is non-verbal i.e. body language, illustrating that email and texting frequently fail to convey the correct message. Over reliance on these electronic forms of interaction affects our ability to empathies and communicate effectively with those around us. Predominance of email and texting often produces misconstrued information thus increasing our already elevated stress levels, costing us time, and requiring us to remove the corporate barriers produced by misunderstanding, anger and frustration.
